Our clients regularly need to use certain official Canadian documents in a specific foreign country.  Many of these documents, vital statistics certificates, can be obtained through the relevant Provincial Government offices.

How can Vital Statistics Certificates be ordered?

Many vital statistics certificates, such as birth certificates, marriage certificates, death certificates can be ordered online through the specific Province’s appointed website.  In most cases a third party cannot order the certificates on behalf of the individual.  However, the third party can be appointed to receive the vital statistic certificates.  For example, if you required an Ontario Long Form Birth Certificate, it could be ordered online through the Service Ontario website.  The item could be shipped directly to our office.  This would help to save time and allow the authentication and legalization of your Canadian documents to commence sooner.

What is the process of document authentication and legalization for my vital statistics certificates? 

For vital statistics certificates that have been obtained from the relevant Provincial authority there is no need to have the documents notarized.  The documents are suitable for authentication with Global Affairs Canada and legalization with the relevant countries Embassy or Consular office.  The authentication and legalization process, sometimes referred to as an Apostille, is relatively straightforward.  The first step in the process is to have the document stamped by the authentication section of Global Affairs Canada.  The affixing of the stamp will deem the document to be a legitimate Canadian document for use abroad.  Once the authentication stamp has been affixed, the document is then presented to the specific diplomatic mission for legalization.  The legalization of the document affixes the countries stamp to the document deeming it to be legitimate for use in that specific country.
